How to write a quote request that gets a fast, accurate answer

PERAMERA · 3 November 2026

Suppliers answer fastest when they do not have to come back with questions. Include these seven details and you will usually get a firm offer in one round.

The seven details

  1. Product and grade. The exact name and, where it matters, the pharmacopoeia or grade, for example "Vitamin D3 100 CWS" or "Esomeprazole Magnesium USP".
  2. Specification. Attach your specification or name the monograph you test against.
  3. Quantity. Per order and per year if you expect repeat orders. Annual volumes often improve the price.
  4. Pack size. Drum, bag or carton size, if your process needs a particular one.
  5. Destination and Incoterm. City and country, and whether you want EXW, FOB, CIF or DAP pricing.
  6. Timeline. When you need samples, and when the first order must arrive.
  7. Documents. CoA, SDS and any manufacturer documents your registration needs.
